Most people start their investigation process for a document imaging system by contacting software vendors on the internet. Unfortunately they are usually unprepared to engage in a meaningful dialog with the vendor.

You should have a basic list of information available prior to any conversations so the you can get accurate information from the vendor during your telephone conversation. Here is a list of the things you should have prepared ahead of time:

  • How many documents (single pages) will you scan on a daily basis? This doesn't need to be an exact amount but a rough estimate.


  • Do you plan on scanning in all of your old records stored in file cabinets and boxes? If so, how many file cabinet drawers and how many boxes? What is the size of the boxes?


  • How many locations and/or departments will need to access the documents?


  • How many people will need to access the documents?


  • What is your computer operating system?


  • Do you have in-house IT staff? Do you outsource your IT work? Will you require someone other than your IT staff to install the system?


  • Be prepared to describe the nature of your documents. Are they produced in-house or documents received from people outside of your organization? What are the different sizes of documents? What are the colors of the documents? Are they structured documents (all the same such as invoices produced in-house) or unstructured documents (different sizes and information located in different areas of the document such as vendor invoices)?   • Will everyone retrieve electronic documents from the network or will they require Internet access?
With this information, most vendors will be able to describe how their system works and give you an estimate on how much the system might cost.
