The core of our document imaging system is our embedded label technology. To be able to retrieve a scanned PDF image at a later date, key search words and numbers must be used to identify these documents. These key search words are embedded into the PDF image through our label module.
The label module has been constructed to use drop down menus and self-completing character strings to facilitate its ease of use and the consistency in labeling documents.
The first step in the document imaging process is to scan documents into the system.
Scanning can be done with any high-speed scanner or MFP. The documents are placed in the automatic document feeder and once the scanning parameters are set such as dpi (dots per inch), contrast, and paper size are set; the operator can then scan the documents into the system.

|Label The Document To Be Filed
Step 2 in the process is to label the documents with keywords and numbers that will be used for retrieving the documents at a later date.
Labeling a document is simple, and creates accurate search results. The labeling process can be done anytime after the documents are scanned into the system.

|Saving The Document To Your Server
Step 3 is to save the documents to the proper file folder structure on the server. The video below illustrates the ease of doing this with our document imaging system. This video is 57 seconds long.

In a paper based filing system, once you are finished using a document, it must be returned to the filing cabinet.

Our document profiles are the power under the hood of the system. The document profile defines where and how you will store the documents and later retrieve the electronic Smart PDF files.
With our system you can set up as many document profiles as you would like. It is a function that only is done when you first set up the system or add additional departments onto the system. They following set of tutorials illustrate how to setup a profile.
